As soon as you have a date. Most corporate clients reach out 3 to 6 weeks ahead. We can sometimes take on last-minute requests if a crew is available, but we can't promise it.

A 50% retainer secures the date, with the remaining 50% due upon initial asset delivery.

Standard photography editing (colour correction, exposure balancing, cropping) is included, whereas advanced retouching and finished video deliverables are quoted separately.

For events, clients receive, broad commercial usage rights covering marketing, PR, internal communications, and paid digital or social advertising, while GRAYN Media retains the underlying copyright. Broadcast use, large-scale or national ad buys, and resale rights fall outside that grant and are quoted separately.

Photos are delivered via a private online Pic-Time gallery, and videos are delivered via Frame.io or Google Drive, with a standard turnaround of 1 to 2 weeks. Faster turnarounds are available as add-ons.

The estimate covers final edited deliverables only, though colour graded selects and/or raw files can be purchased as add-ons.

Yes, provided a written shot list is provided before the event. We also highly recommend a point of contact on-site who can flag people in real time as the event moves.

A rain plan is built into pre-production, and reasonable accommodations are made for short-notice venue changes, though major changes close to the event date may involve a rebooking fee.

Coverage is booked for the hours in your quote. If you need us to stay past that on the day, it's billed at $250 CAD per hour per crew member, in 30-minute increments. Let your on-site contact know if you think you'll run over, so we can confirm crew availability before it happens.

Yes. For anything spanning multiple days or venues, we'll map out a schedule with you ahead of time so crew, gear, and travel are locked before the first shoot day.

Yes. Depending on the event, we can add real-time photo highlights, colour graded selects (all the usable footage, graded and ready to cut if your team wants to edit in-house), roaming interviews, an on-site dedicated testimonial or headshot station, highlight recap edits, social media reformats, or a full recording of speeches. None of these are automatic, so mention what you're after on the discovery call and we'll build it into the quote.

Travel within Metro Vancouver is included, while travel, accommodation, and per diems outside that radius are billed separately based on location.

We maintain a roster of backup shooters and a trusted network of contractors, so a single person being unavailable doesn't put your coverage at risk.

Yes. We carry $5 million in commercial general liability coverage and can provide a Certificate of Insurance when a venue requires one.
